This role is essential for ensuring smooth coordination of administrative, operational, and hospitality-related tasks. The successful candidate will manage the CEO’s calendar, travel arrangements, and communications, while also handling confidential matters with professionalism and discretion.
Key Responsibilities:
- Administrative Support: Manage all administrative tasks for the CEO, including scheduling meetings, coordinating travel, and preparing detailed itineraries.
- Stakeholder Management: Act as a critical point of contact for internal and external stakeholders, ensuring efficient communication on behalf of the CEO.
- Confidentiality & Correspondence: Handle confidential inquiries and messages, ensuring appropriate follow-up and correspondence.
- Calendar & Appointment Management: Organize and coordinate CEO’s meetings, teleconferences, and other appointments to ensure optimal use of time.
- Document Management: Oversee documents, meeting papers, and approval processes for the CEO and Board of Directors.
- Travel & Hospitality: Arrange and manage travel plans, including logistics, bookings, and expense handling. Organize meals for directors and guests.
- Database & Reporting: Maintain databases (contacts, loyalty programs, etc.) and support industry research, providing necessary information as required.
- Compliance & Payments: Oversee the CEO’s credit card payments, invoice processing, and travel logbooks. Ensure all protocols are followed.
- Additional Support: Assist with personal tasks for the CEO’s family, such as visa applications.
Qualifications:
- Bachelor's degree required; MBA preferred.
- A diploma in Executive Assistance or Secretarial Studies is a plus.
Skills & Competencies:
- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint) and Google Suite.
- Communication: Strong verbal and written communication skills.
- Time Management: Excellent multitasking and time management capabilities.
- Interpersonal Skills: Strong stakeholder management and ability to handle diverse tasks in a fast-paced environment.
Experience:
- Minimum of 3 years of experience in a similar role.
