Job Description: Crew Executive
Department: Crewing Department
Position Overview:
The Crew Executive will be responsible for the efficient management and coordination of crew operations within SEAMEC Limited, specifically related to sourcing, documentation, travel arrangements, and overall crew welfare. The role includes administering crew data, ensuring compliance with regulations, liaising with various departments, and facilitating the smooth joining and relief of crew members for the vessels under the company’s management.
Key Responsibilities:
• Crew Sourcing & Recruitment
o Assist in sourcing qualified Deck & Engine Officers as required for vessel operations.
o Schedule and coordinate interviews for all selected candidates and ensure follow-up actions are completed.
o Verify the authenticity and validity of certificates, CDCs, and other required documentation for candidates.
• Medical and Fitness Coordination
o Arrange for pre-joining medical examinations for approved candidates.
o Coordinate necessary tests including Drug and Alcohol testing, Stress Testing (for elderly candidates), and ensure compliance with medical fitness standards.
o Alert the company doctor when in doubt about a candidate’s fitness and advise for a thorough check-up if needed.
• Travel & Visa Arrangements
o Liaise with travel agencies to ensure smooth joining of candidates by arranging the necessary visa requirements.
o Coordinate travel arrangements (flights, hotel accommodations, transportation) for crew joining or signing off at ports of call.
o Ensure timely and efficient crew sign-on/sign-off processes, including travel and port access.
• Crew Relief & Planning
o Maintain an up-to-date crew relief plan for all vessels assigned, ensuring relief personnel are scheduled well in advance.
o Ensure proper and timely crew leave cycles are managed and relief is scheduled on time.
• Crew Performance & Documentation
o Obtain seafarer appraisal reports from Masters and Chief Engineers to assess crew performance.
o Maintain the crew database and monitor the status of all seafarers’ licenses and certificates, ensuring their authenticity.
o Process the requisite documentation for crew signing on and signing off the vessel.
o Maintain accurate personal files for all seafarers and ensure that all licenses applied for are properly documented.
o Ensure original copies of documents are handed over to the applicants, with copies retained in files.
• Communication & Coordination
o Maintain regular communication with vessels, ensuring all emails and queries are replied to in a timely manner.
o Collaborate with various internal departments and external agencies (DG Shipping, MMD, Travel Agents) for documentation and verification processes.
o Ensure compliance with company policies, regulatory requirements, and industry best practices.
• Miscellaneous
o Arrange mandatory training and courses required for seafarers.
o Liaise with the relevant authorities to process paperwork, including ONGC passes, crew licenses, and other regulatory compliance documents.
o Maintain a database of available manpower resources for future crew requirements.
o De-brief off-signing crew members, taking up issues needing attention with relevant authorities, and ensuring the resolution of any open matters.
Qualifications & Skills:
• Education: Bachelor’s degree or equivalent in a related field (e.g., Maritime Studies, Logistics, or Management).
• Experience: Minimum of 2 years of experience in crew management or similar roles in the maritime industry.
• Skills:
o Strong understanding of crew management systems and the maritime industry.
o Excellent communication and organizational skills.
o Proficiency in Microsoft Office and crew management software.
o Knowledge of crew welfare, travel coordination, and regulatory requirements (e.g., DG Shipping, MMD).
o Ability to work efficiently in a fast-paced environment with attention to detail.
