Key Roles & Responsibilities
1. Front Desk Management
* Greet and welcome visitors with a friendly and professional attitude.
* Maintain the reception area to ensure it is clean, organized, and presentable.
* Manage visitor logbooks and issue visitor badges.
2. Communication Handling
* Answer, screen, and forward incoming phone calls.
* Handle inquiries via email, phone, and in-person professionally.
* Take accurate messages and ensure timely delivery to staff.
3. Administrative Support
* Manage incoming and outgoing mail, courier, and deliveries.
* Schedule appointments, meetings, and conference rooms.
* Assist with filing, photocopying, scanning, and data entry.
* Maintain office supplies inventory and coordinate replenishment when necessary.
4. Coordination & Assistance
* Coordinate with various departments for administrative tasks.
* Help HR with onboarding by providing forms, ID cards, and initial orientation materials.
* Support management in organizing office events or meetings.
5. Record Keeping
* Maintain visitor records, phone logs, and attendance registers (if applicable).
* Update internal contact lists and directories.
Required Skills & Qualifications
• Minimum qualification: High School Diploma or Graduation (preferred).
* Proven work experience as a Receptionist or Front Office Executive.
* Excellent verbal and written communication skills.
* Strong customer service and interpersonal abilities.
* Proficiency in MS Office (Word, Excel, Outlook).
* Ability to multitask and prioritize tasks efficiently.
* Professional appearance and positive attitude.
