Job Description:
We are seeking a dedicated and enthusiastic Facility
Executive to join our dynamic team. As
a Facility Executive, you will ensure that our office spaces
are maintained to the highest
standards, providing a safe, clean, and productive
environment for our clients. Your role will
be crucial in managing the day-to-day operations of our
facilities, coordinating maintenance
activities, and ensuring that our clients' needs are met
promptly and effectively.
Responsibilities:
Facility Operations:
● Oversee the day-to-day operations of our office spaces,
ensuring they are clean, safe, and well-maintained.
● Coordinate with cleaning and maintenance staff to ensure
all areas are serviced regularly.
● Monitor and manage building systems, including HVAC,
lighting, and security. Client Relationship Management:
● Serve as the main point of contact for our clients
regarding facility-related issues and concerns.
● Develop and maintain strong relationships with clients,
ensuring their needs are met promptly.
● Conduct regular walk-throughs and inspections to ensure
client satisfaction with the facility.Maintenance and Repairs:
● Coordinate and oversee all maintenance and repair
activities, ensuring timely and effective solutions.
● Work with external vendors and contractors to perform
necessary repairs and maintenance tasks.
● Maintain a log of maintenance activities and track
performance against service level agreements (SLAs). Safety and Compliance:
● Ensure all facilities comply with health and safety
regulations.
● Conduct regular safety inspections and drills to ensure a safe
working environment.
● Implement and enforce safety policies and procedures. Budget
Management:
● Manage the facility budget, ensuring efficient use of
resources.
● Track and report on expenses related to maintenance and
facility operations.
● Identify cost-saving opportunities and implement measures
to reduce expenses. Space Management:
● Manage the allocation and utilisation of office space to
ensure optimal use.
● Plan and coordinate office moves and space
reconfigurations as needed.
● Maintain an up-to-date inventory of office furniture and
equipment. Client Onboarding and Support:
● Assist with the onboarding of new clients, ensuring they
are familiar with the facility and its amenities.
● Provide ongoing support to clients, addressing any
facility-related issues or concerns. Reporting and Analysis:
● Provide regular reports on facility operations,
maintenance activities, and client satisfaction.
● Analyse data to identify trends and areas for improvement
in facility management.
Work Schedule and Expectations:
Working Days:
● We Operate 6 days a week with Sunday as a day off. If a
client request arises, you may need to swap your day off for a weekday.
Buildings Managed:
● You will be assigned 3 to 5 buildings, all within a
3-kilometre radius.Travel Requirement:
● Daily Visits to all assigned buildings are required.
Work Timings:
● Your core hours are typically from 9:30 AM to 6:30 PM,
depending on client needs
and building requirements. Before arriving at your first
building, you are expected to
check in with the building’s point of contact to ensure
everything is in order. Role Nature:
● This is primarily a soft service role. However, for
technical issues, you will need to coordinate with the technical team to
resolve them.
